SHMS PTO is a group of dedicated and passionate Stone Hill Parents who play an essential role in Stone Hill Middle School by supporting students, staff and community in a variety of ways.

SHMS PTO is seeking parent volunteers who would like to join hands and make the School Year of 2026-2027 a successful one for all our middle schoolers.

DESCRIPTION OF BOARD POSITIONS

Board Members in the following positions are expected to hold the post for minimum of 2 years and in addition are allowed a maximum of 1-year transition/hand-over period.

 

President

Secretary

Treasurer

 

All of the following Positions are for a maximum of 2-year period. Board members are allowed to take on other positions (outside of their current office) within the board once their 2-year period in the current position is up.

PRESIDENT

The president shall preside over meetings of the organization and executive board, serve as the primary contact for the principal, represent the organization at meetings outside the organization, serve as an ex officio member of all committees except the nominating committee, and coordinate the work of all the officers and committees so that the purpose of the organization is served.


VICE PRESIDENT

The vice president shall assist the president and carry out the president’s duties in her or his absence or inability to serve.
 

SECRETARY

The secretary shall keep all records of the organization, take and record minutes, prepare the agenda, handle correspondence, and send notices of meetings to the membership. The secretary also keeps a copy of the minutes book, bylaws, rules, membership list, and any other necessary supplies, and brings them to meetings.
 

TREASURER

The treasurer shall have custody of all funds of the organization, keep a full and accurate account of receipts and expenditures, make disbursements as authorized by the executive board or the organization in accordance with the adopted budget, present a financial statement at every regular meeting of the organization or when requested by the executive board, make a full financial report at the annual meeting at which new officers are elected, and submit the treasurer’s books together with all records to the executive board, no later than 30 days after the end of the academic year, for financial review.

 

DESCRIPTION OF COORDINATOR POSITIONS

 

VP/Co VP OF FUNDRAISING
(Average 5-8 hours per month)
Oversees all fundraising

Oversees supplies and volunteer/staff for the school store

Supplies information to the President and Secretary for fundraising correspondence and website updates

Assists the President
 

VP/Co VP OF STAFF APPRECIATION EVENTS
(Average 5-8 hours per month)
Carries out all Staff Appreciation Events throughout the year

Oversees and coordinates committees and volunteers as needed for successful carrying out of the events

Works with President and Treasurer to develop event budgets

Supplies all information to the other board members for correspondence, website updates, and money handling

 

VP/Co VP OF COMMUNITY EVENTS

(Average 5-10 hours per month)

Develops and maintains schedule of Community events throughout the year

Oversees and coordinates committees and volunteers for events

Works with President and Treasurer to develop event budgets

Supplies all information to the other board members for correspondence, website updates, and money handling

 

VP/Co VP of Sponsorships

(Average 5-8 hours per month)

Is responsible for initiating and maintaining all Business Partnerships and raise funds through sponsorships with the local businesses in the Community.

Works with PTO Team to come up with creative ways of acquiring sponsorships

Support PTO Board and the various events conducted by the PTO Board to engage with the community and benefit them.

 

VP Social Media (New)

(Average of 2-3 hours per month)

Establish and maintain social media presence across multiple social media platforms for SHMS PTO. Regularly post all upcoming as well post event updates for events hosted and sponsored by SHMS PTO. Find new and creative ways to connect with Stingray Community. 

 

LEAF Representative (Loudoun Education Alliance for Families)

Be a voice for parents from their school communities providing valuable parental perspective to the School Board. Communicate School Board questions, recommendations, or decisions back to their communities.

Serve as an advisory body, bringing to the School Board’s attention existing or emerging issues expressed by parents in their school community. Help develop and shape recommendations on improving student experience in school.

 

SEAC Representative (Special Education Advisory Committee)

Attends scheduled SEAC meetings and presents pertinent information at the PTO meetings.

 

MSAAC Representative (Minority Student Achievement Advisory Committee

Attends scheduled MSAAC meetings and presents pertinent information at the PTO meetings.

 

Spirit Night Coordinator

Works with local restaurants to arrange Spirit Nights and develop a calendar. Works with PTO Board and School to advertise events.

 

Spirit Wear Coordinator

Tracks Spirit Wear inventory and works with PTO/Admin team and local vendor to develop new designs and place orders.

 

Store Coordinator

Track inventory of items sold at the store. Replenish them bi-weekly or as needed.

Introduce new and exciting items for sale at the store.

Manages schedule of all volunteers to keep the store open all days of the week. Report Store sales.
